Rent records for landlords in Kenya

Did last month’s 41,000 really come in?

Other systems collect rent. MwaRent proves it: who paid, who didn’t, and every shilling accounted for.

It works alongside your bank and M-Pesa. Tenants keep paying the way they do today.

Sample workspace, This month screen: 10,600 still owed, 2 of 4 tenants paid, and the three steps of the month: invoices created, bank statement uploaded, payments checked and saved.
Sample workspace, Check and save screen after a bank statement upload: 6 money-in rows found, 32,200.00, the same as the statement total. Four matched by house number, one by name, one unmatched.
Sample workspace, Month status screen: 10,600 still owed, 25,200 invoiced, 15,300 collected, and each tenant marked Paid, Part paid or Not paid.
Sample receipt page: Receipt RCT-000001 for 6,300 shillings received from a tenant for one unit, marked Fully paid, with Download PDF and Print buttons.
Sample workspace on a phone, This month screen: 10,600 still owed and 2 of 4 tenants paid.

01 The doubt

Mercy says she has paid. Can you prove it?

Tenants pay the way they always have. The doubt starts after: a spreadsheet nobody trusts, a WhatsApp thread, and a bank statement with 50 lines.

One look. The record is already there.

02 How it works

From bank statement to receipt.

The product as it is today, one step at a time. Every name, number and amount on these screens is invented.

Sample workspace, invoices table: unit, tenant, balance from last month, rent and total for four tenants.
A sample invoice for one tenant: balance from last month, rent and garbage, total 10,600.
Sample workspace, Check and save screen: 6 money-in rows found, 32,200.00, the same as the statement total.
Sample workspace, review list: a payment matched by similar name waiting for Confirm, and payments matched by house number marked confirmed.
Sample workspace, Month status screen: 10,600 still owed, 25,200 invoiced, 15,300 collected.
Sample receipt page on a phone: Receipt RCT-000001 for 6,300 shillings, marked Fully paid.
  1. Step 1

    Invoices go out

Every occupied unit gets an invoice, with the balance from last month already in it.

Download one PDF each, three to a page, or Excel.

Sample workspace on a phone, invoices table for the next month.
A sample invoice for one tenant: balance from last month, rent and garbage, total 10,600.
    Example data
  2. Step 2

    Upload the bank statement

Drop in the PDF. It is read on your own device, and payments already saved are never added twice.

The money-in rows are counted and totalled, then compared with the statement’s own total.

Sample workspace on a phone, Check and save screen: 6 money-in rows found, 32,200.00.
    Example data
  3. Step 3

Matched, with a person for the rest

Payments are matched by house number, phone and name. A similar name comes with a suggestion and a Confirm button.

Anything that cannot be placed stays visible until someone assigns it.

Sample workspace on a phone, review list with payments matched by house number.
    Example data
  4. Step 4

    The month adds up

Month status shows invoiced, collected and still owed.

Each tenant reads Paid, Part paid or Not paid. A credit shows as credit.

Sample workspace on a phone, Month status screen: 10,600 still owed.
    Example data
  5. Step 5

    A numbered receipt

Each payment gets a numbered receipt. The tenant can open it from a link, without signing in, and download the PDF.

Sample receipt page on a phone: Receipt RCT-000001 for 6,300 shillings, marked Fully paid.
    Example data

03 Statement total check

The statement total has to add up.

Upload your Equity Bank PDF statement. MwaRent matches each payment by the house number in the payment text, the payer’s phone and the payer’s name, typos and cut-off names included. The amount is only a hint. Matched payments close their invoices. Anything doubtful goes to a person to confirm.

Then the total is checked: what was matched, plus what is waiting for you, against the statement.

05 Why trust it

A record you can hand to anyone.

Other systems collect rent. MwaRent proves it: who paid, who didn’t, and every shilling accounted for.

Audit log
Every change is logged: who, what, when. A figure that moved has a name and a time next to it.
Month order
Months stay in order. You can’t invoice a month before the previous month’s bank statement is saved. You can’t skip a month, or bill far into the future. A closed month is locked, and a late payment into an earlier month flags the later invoices for review. An owner can override most of these with a written reason, and the override is logged.
Receipts
Numbered, and voided if a payment is reversed. The record and the tenant’s receipt cannot disagree.
Separation
Organizations cannot see each other’s data. That isolation is tested with thousands of automated checks.
Access
Two-factor login is available. Suspended accounts become read-only.
